How It Works
From role brief to the right hire.
The right person starts with the right brief. Your Virtual Partner guides you through a structured process to define the role, choose the most suitable engagement model, meet carefully screened candidates and coordinate a confident start.
One Clear Recruitment Journey
One process. Three ways to build your team.
Every engagement begins in the same place: understanding what your business needs. YVP then helps you choose the model that fits how you want the team member to be employed, administered and supported.
Understand Your Business
We learn about your team, workflows, systems, goals and working environment.
Define the Role
Together, we clarify responsibilities, must-have capabilities and success measures.
Select the Engagement Model
We recommend the commercial structure that best fits your hiring goals.
Search and Screen
YVP sources candidates and evaluates them against the agreed brief.
Interview and Select
You meet suitable candidates and remain in control of the final decision.
Onboard or Complete Placement
The final steps are coordinated according to your chosen model.
Flexible Ways to Hire
Choose the structure that fits your business.
The work may be similar, but the responsibility after placement is different. Your discovery call helps YVP understand whether you want ongoing employment administration, a direct placement or an Australia-based hire.
Outsourced Model
Designed for long-term remote support. YVP manages applicable HR, payroll, retention and team-member administration under the agreement, while you lead the person's day-to-day priorities and performance.
Best Suited To
Businesses that want an ongoing team member without taking on all employment administration themselves.
Direct Placement
Designed for businesses that want YVP to recruit and screen a suitable candidate, then take over the ongoing employment or engagement relationship after placement.
Best Suited To
Businesses ready to manage the hire directly after YVP completes the recruitment and placement process.
Onshore Direct Placement
Designed for businesses hiring an Australia-based permanent employee. YVP manages the recruitment and candidate presentation, then you employ and manage the successful candidate directly.
Best Suited To
Businesses that need an Australia-based employee and are ready to assume the ongoing employer responsibilities.
Three models. One starting point.
All three models begin with discovery, role scoping and recruitment. The main differences are who handles employment administration, how YVP remains involved after the start date and how the service is charged.
| Outsourced | Direct Placement | Onshore Direct Placement | |
|---|---|---|---|
| Best suited to | Ongoing remote support with YVP managing agreed employment administration. | A direct hire or engagement after YVP completes recruitment. | An Australia-based permanent employee hired directly by your business. |
| Day-to-day direction | Managed by your business. | Managed by your business. | Managed by your business. |
| HR and payroll | YVP manages applicable HR, payroll and retention support under the agreement. | Your business or the responsible engaging party takes over after placement. | Your business assumes the ongoing Australian employer responsibilities. |
| Commercial structure | Recurring management fee, plus any applicable setup fee. | One-time placement fee set out in the proposal. | One-time onshore placement fee set out in the proposal. |
| After the start | YVP continues the agreed employment administration and support. | YVP involvement is limited to the placement and any agreed guarantee terms. | YVP involvement is limited to the placement and any agreed guarantee terms. |
Important: The exact responsibilities, inclusions, fees and placement protections for your engagement are set out in the proposal and agreement.
From Discovery to Shortlist
A structured path to the right candidate.
The first six stages create the foundation for every engagement. Screening methods and checks may vary according to the role, industry and model, but the goal remains the same: give you a clear brief and a relevant shortlist.
The Discovery Call
We learn about your business, company culture, team dynamics, systems and working environment. Together, we define what the role needs to achieve, not simply which tasks need to be completed.
- The work to be delegated and the bottlenecks behind it
- Must-have experience, technical skills and working style
- Systems, tools, access requirements and communication methods
- Working hours, time-zone requirements and preferred start timing
- Responsibilities, role boundaries, priorities and success measures
Model Recommendation and Proposal
Based on the brief, YVP recommends the most appropriate engagement model and presents a detailed proposal. This sets out the candidate profile, recruitment approach, service inclusions, commercial structure and payment terms.
Agreement and Initial Payment
Once you approve the proposal, we finalise the relevant agreement and issue the initial invoice. The agreement covers the applicable scope, confidentiality, intellectual property, service commitments and placement protections. Active recruitment begins after the required initial payment is received.
Note: "Master Services Agreement" applies to the Outsourced Model, and "Direct Placement Agreement" applies to either placement pathway. Not every clause or protection applies identically across all models.
Candidate Search
YVP begins a targeted search using its talent network and database, relevant job boards and direct outreach. The sourcing approach is shaped around the role, location, experience level and urgency agreed in the brief.
Screening and Assessment
Candidates are reviewed against the agreed requirements before they are presented to you. Depending on the role, this may include interviews, technical or practical assessments, behavioural or psychometric tools, reference checks and credential verification.
What to expect: Screening is role-specific. YVP will explain which checks and assessments are included in your recruitment plan.
Candidate Presentation and Interviews
You receive a curated shortlist of candidates aligned with the brief. Candidate profiles may include video introductions, screening notes, assessment results and other relevant information. You choose whom you would like to interview, and YVP coordinates the next steps and feedback.
Your decision: You remain in control of the final hiring decision. YVP's role is to make that decision clearer, better informed and easier to coordinate.
After You Choose Your Candidate
The final steps follow your engagement model.
Once you select your preferred candidate, the offer, payment and handover process changes according to who will employ or administer the team member after the start date.
Outsourced Model +
Selection, Offer and Acceptance
You select your preferred candidate. YVP coordinates the offer documentation, salary discussion and acceptance process, then confirms the agreed start arrangements with both parties.
Setup, Handover and Onboarding
YVP completes the applicable payroll and employment administration setup. Equipment delivery, IT onboarding and access preparation are coordinated where included. A handover document supports the transition, and YVP remains involved through the agreed onboarding, review and ongoing support arrangements.
Direct Placement +
Client Offer and Acceptance
You conduct the final interviews and choose your preferred candidate. Your business extends and finalises the employment or engagement offer directly. YVP can support communication and salary negotiation so both parties reach a clear agreement.
Placement Confirmation
The placement is confirmed when the candidate accepts and signs the applicable agreement. YVP issues the final balance at the milestone stated in your contract. Your business then assumes the ongoing responsibilities, and any agreed replacement or guarantee period begins.
Onshore Direct Placement +
Client Offer and Acceptance
You conduct the final interviews and select the preferred Australia-based candidate. Your business extends the offer and finalises the employment contract directly, with YVP supporting communication and negotiation where required.
Placement Confirmation
The placement is confirmed when the candidate formally accepts and signs your employment contract. YVP issues the final balance at the agreed milestone. Your business assumes the ongoing employer responsibilities, and any agreed replacement or guarantee period begins.
Industry-Aligned Recruitment
The process stays consistent. The brief does not.
A mortgage brokerage, healthcare practice and construction company can follow the same recruitment journey while needing very different systems knowledge, communication standards, documentation processes and role boundaries. YVP shapes the brief around the environment in which the person will work.
Operating Context
We consider the workflows, hand-offs, systems, turnaround times and service expectations behind the role.
Role-Specific Capability
Experience, technical skills, communication style and assessment methods are matched to the agreed requirements.
Boundaries and Access
For regulated or sensitive work, the scope, supervision, permissions and approval responsibilities must remain clear.
Your First Step
You do not need a perfect job description.
Come with the problem you want to solve, the outcome you want to create or the work that is taking too much time. YVP can help turn that starting point into a practical role brief.
Helpful information to bring:
- A short overview of your business, industry and current team
- The tasks, delays or capacity problems you want to address
- Your preferred working hours, location and target start timing
- Any must-have systems experience, qualifications or industry knowledge
- What success should look like in the first few months
- Any early preference around the engagement model or budget
Clear Ownership at Every Stage
A recruitment process built around fit, clarity and confidence.
A Brief Built Around Outcomes
The process starts with what the role needs to accomplish, then connects the responsibilities, skills and KPIs to those outcomes.
Relevant Screening
Candidates are evaluated against the agreed brief using the checks and assessments appropriate to the role.
Clear Decisions and Next Steps
You know what YVP is handling, what your business needs to decide and what must happen before recruitment or onboarding moves forward.
Security-Conscious Coordination
YVP's Information Security Management System is certified to ISO 27001:2022, reinforcing a structured approach to information security and risk management.
Client Proof
Thoughtful recruitment starts with listening.
"From the very first consultation, they took the time to deeply understand our business, our values at AusRehab, and the specific type of support we needed. They didn't just send us resumes; they curated a shortlist of genuinely qualified candidates. The process was smooth, professional and supportive."
Frequently Asked Questions
What is the difference between the Outsourced Model and Direct Placement? +
Under the Outsourced Model, YVP continues managing the agreed HR, payroll and employment administration while your business directs the team member's daily work. Under Direct Placement, YVP completes the recruitment and placement, then your business or the responsible engaging party takes over the ongoing relationship.
How do we know which engagement model is right for us? +
Your discovery call helps YVP understand the role, preferred talent location, budget, hiring goals and level of ongoing administration you want. We then explain the available options and recommend the most suitable structure.
Who manages the person day to day? +
Your business manages the person's daily priorities, workflows, communication and performance across all three models. What changes is who handles the ongoing employment or engagement administration.
When does candidate recruitment begin? +
Active recruitment begins after the proposal and relevant agreement are approved and the required initial payment has been received.
How long will the recruitment process take? +
Timing depends on the role, experience required, candidate location and market availability. YVP will provide an indicative recruitment plan and keep you informed as the search progresses rather than promising the same timeframe for every hire.
How many candidates will we receive? +
YVP presents a curated shortlist based on the agreed brief. The number may vary according to the role and model because relevance and suitability are more important than sending a large volume of profiles.
What screening and assessments are included? +
Screening is tailored to the role. It may include initial interviews, practical or technical assessments, behavioural or psychometric tools, reference checks and credential verification. Your proposal will clarify what applies to your search.
Who issues the offer and employment agreement? +
For an outsourced engagement, YVP coordinates the offer and applicable employment administration. For either direct placement model, your business issues and finalises the employment or engagement agreement directly, with YVP supporting communication and negotiation where required.
What happens if the placement does not work out? +
Any trial, replacement or guarantee terms depend on the selected model and signed agreement. Contact YVP promptly if concerns arise so the applicable support process and eligibility conditions can be reviewed.
Can YVP recruit support for a regulated industry? +
Yes, where the role, candidate requirements and professional boundaries are clearly defined. Team members must work within the agreed scope, required supervision, access controls and any applicable qualifications or authorisations.
